How Can You Conduct an Effective Safety Meeting?

In the intricate landscape of workplace safety, communication is a cornerstone. One powerful tool in this arsenal is the Safety Committee Meeting, a crucial platform for deliberating on matters that affect the health and well-being of employees. In this article, we'll explore the key elements of an effective safety meeting, drawing insights from the OHS Act No. 85 of 1993, section 19-20.

How Can You Conduct an Effective Safety Meeting?

Establishing the Safety Committee:

The OHS Act of South Africa mandates that employers with two or more designated health and safety representatives must establish a health and safety committee. The purpose of this committee is to initiate, develop, promote, maintain, and review measures to ensure the health and safety of employees at work.

Composition and Membership:

The committee's composition is determined by the employer, with the provision that all health and safety representatives in a workplace become members. For workplaces with multiple committees, each representative must be part of at least one committee. The number of employer-nominated members should not exceed the number of health and safety representatives.

Roles and Responsibilities:

A health and safety committee has several crucial functions. It can make recommendations to the employer or, if necessary, report matters affecting health and safety to an inspector. Additionally, it discusses incidents in the workplace and maintains records of recommendations and reports. Importantly, the committee or its members are not subject to civil liability for actions or omissions in compliance with the Act.

Conducting Effective Meetings:

Regular meetings are the heartbeat of a productive safety committee. They should be held as often as necessary but at least once every three months. The frequency ensures that emerging concerns are promptly addressed. An inspector can also direct the committee to convene a meeting in specific circumstances. The procedures of the meetings are determined by the committee, ensuring a tailored approach.

Advisory Members:

Committees have the option to co-opt advisory members based on their specialized knowledge in health and safety matters. While advisory members contribute valuable insights, they do not have voting rights.
